How to: Add a signiture to an Email

You may have the perfect signature designed, but how do you attach it to your email? It is far simpler than you might think.

Here is the how to, straight from the source

Signatures are separated from the rest of your message by two dashes. To see a signature in Gmail, click the Show trimmed content button at the bottom of the message.

Create signatures

  1. Open Gmail.
  2. Click the gear in the top right.
  3. Select Settings.
  4. Scroll down to the “Signature” section and enter your new signature text in the box. You can format your text using the buttons directly above the text box.
  5. Click Save Changes at the bottom of the page.

Advanced options

To add an image to your signature, you’ll need an image that’s available publicly on the web. For example, if you’re adding your company’s logo, you may be able to find the logo on your company’s website and right-click the image to copy the URL. However, if your image is not available on the web, you can upload it to a website, blog, or image hosting service.

Once you’re ready with the URL, go back to the Settings page and click Insert Image above the signature text box.

If you use the “Send mail as” feature to send from different addresses in your account, you can create a different signature for each address. Just use the drop-down menu above the signature text box on the Settings page to select each address.

If you don’t see the drop-down menu, go to the Accounts tab in Settings and make sure your addresses are listed in the “Send mail as” section.

When you reply to an email, your signature is added to the very end of the message, below the quoted text of the previous messages. However, you can change your setting so that your signature appears above the quoted text. This setting also removes the “–” above your signature.

To change your setting, check the box next to “Insert this signature before quoted text in replies and remove the “–” line that precedes it” under the signature text box on the Settings page.

The signature feature in Gmail only supports one signature for each address.

Troubleshooting

If you notice extra characters such as * or > in your signature after you send messages, it’s because some versions of Gmail don’t support rich text. For example, text you bolded in your signature might be marked with asterisks, so example would show as *example*.

For rich text signatures, the maximum number of characters you can use is 10,000 (including HTML markup).

If you see “Plain Text” above the signature box and don’t have any formatting options while creating your signature, here’s how to fix the problem:

  1. Click the Compose button.
  2. Click More options.
  3. Deselect Plain text mode.

Don’t forget you can have a signature on your mobile device too!

You can append one or a few lines of plain text to every message you send from your phone, such as your name, contact information, or even “Sent from my phone.”

This signature is independent of any signature you append to messages you send from Gmail on the web.

  1. Open your Inbox or another labeled list of conversations.
  2. Touch Menu > More > Settings > Signature.
  3. Enter a signature.
  4. Touch OK.

You can create a mobile signature that will only be used when you send emails from the Gmail app.

Create a mobile signature

  1. Open the Gmail app.
  2. Touch Menu iOS Menu icon.
  3. Touch the gear icon iOS Gear Icon.
  4. Switch Mobile Signature from OFF to ON.
  5. Touch the text directly below “Mobile Signature” to edit your signature text.
  6. Touch Save.

If you have multiple accounts, make sure you’re in the right account before you touch the gear icon iOS Gear Icon.

About signatures

A signature is a bit of text that’s automatically inserted at the bottom of every message you send. For example, you can use a signature to include your contact information or to let people know that you’re using a mobile device to send emails.

If you already set up a signature while on a computer, your regular signature will be automatically attached to emails you send from the Gmail app unless you set up a mobile signature to use instead.
